Procedure: Adding a legislation web address to a policy

This procedure has been documented in Windows XP operating system and using the Internet Explorer browser. If you are using Windows 7 or other operating systems, the steps might vary slightly. We will be documenting all procedures for Windows 7 in due course.

Opening the Legislation link

  1. Log in to the Governance Intranet. See: Logging in.

  1. In Governance - Governance page, select Legislation.  

  2. The Butterworths Lexis Nexis web site opens displaying the table of contents (left), Welcome message and Quick Start links (centre), and in the Search options (right).

Finding the referenced legislation

  1. The Focus Search Navigation page opens in a new window.

  2. In the Legislation section, select National Legislation.

  1. The National Legislation Focus Search page opens in a new window.

In the Search by section:

  1. Enter the Act Name, if known.

  2. Enter the Act Number, if known.

  3. Enter the Section Number, if known.

  4. Enter any Definitions, if applicable.

  5. Use the other search options, if necessary.

In the Please select areas to cover in this search section:

  1. Leave the default option Principal Acts selected (recommended) or select another relevant option.  

  2. Click Search.

  1. The My LexisNexis - Search Results page opens displaying a list of results. The more specific the search terms (entered in step 5) the fewer the results.

  2. Look through the search results for the legislation you were looking for.

  3. If you do not find a match to the legislation required:

You may need to get more specific information (see search terms in step 5) about the piece of legislation if you are having trouble finding it.

  1. If you do find a match to the legislation required, click on the Title hyperlink to open it and check that it is correct.

  1.  The <Title of legislation> page opens displaying the contents of the legislation selected and highlighting the search terms entered in the Focus Search in step 5.

Adding the legislation web address to the policy

  1. In Microsoft Word, with the relevant policy open (if it is not open, see: Downloading policy documents):

  2. Scroll down to the reference to the legislation (e.g. Related links section or References section).

  3. Select the full title of the reference, right-click and choose Hyperlink.

  1. The Insert Hyperlink dialog box appears.  

  2. In the Address field right-click and choose Paste (to paste the hyperlink that you copied in step 7).

  3. Click OK.

  1. The Microsoft Word policy document reappears with the hyperlink added to the legislation reference.

  2. If you want the hyperlink to be visible in a printed version of the policy, right-click and choose Paste and place brackets "( )" around it.

If the web address is very long, which can happen if a specific section of the Act or legislation is referenced, then use your discretion as to whether you want to paste it in the document to be visible in a printed version.

  1. The legislation web address has been successfully added to the policy.

  2. If there are more references to this legislation, repeat steps 8 to 10 until the legislation web address has been added to all the references in the policy document.

  1. Click Save to save the changes you have made to the policy.
