Procedure: Compiling a draft chair's circular

When to perform

When a meeting is cancelled and/or the chair needs to send out a chair's circular to the committee.

Before you begin

If applicable, download the chair's circular template (opens in a new window) which is available for use.

Procedure

  1. Ask the chair to compile and send you a draft of the chair's circular.

  2. On receipt of the draft circular, apply the template to the circular and ensure that it includes all the standard headings and formatting.

  3. Submit the draft circular to the chair for review.

  4. On receipt of feedback from the chair, amend the circular, if necessary.

  5. Upload the finalised chair's circular to the Governance Intranet, see: Uploading the committee documents.

  6. Ask the chair to approve the chair's circular in the Governance Intranet.

  7. On approval, an e-mail with a links to the final chair's circular is sent to the committee members.
