Procedure: Adding Articles in Conference Proceedings

Introduction

The Conference Outputs category provides for all information relating to any type of conference output to be captured. Each entry is listed by Contribution title and Moderated. A scholarly output is considered ready for distribution once the Own Department and Own Faculty fields have been completed.

There is no restriction on the total number of entries you may add.

Procedure

Log in to the UCT Research Portal website with your UCT network credentials.
Click Scholarly Outputs.

In the Scholarly Outputs – Home page, click the Conference Outputs category.

The Scholarly Outputs – Conference Outputs page opens.

Adding an ISBN and article title details

In the Articles in Conference Proceedings section, click Add New.

The Scholarly Outputs – Add an Article in Conference Proceedings page opens.

Enter the ISBN number in the ISBN Number field.
Enter the title of the proceedings in the Title of Proceeding field.
Enter the title of the contribution to the conference in the Title of Contribution rich text field.
Enter the title of the conference in the Title of Conference rich text field.
Select the country of the conference from the Country of Conference drop-down list field.

Adding and saving a contributor

Click Add Contributor.

The Add a Contributor dialog box appears.

Enter the contributor's surname in the Last Name field.
Enter the contributor's initials in the Initials field.
If this person is currently involved with UCT, click Search UCT.
A list of UCT staff members and students appears (based on the surname and initials entered above).
Click to select the relevant person from the list and continue to the Primary Author check box.
In the Institution extendable select field, enter or select the author's institution name.
If this person was the primary author, ensure that the Primary Author check box is selected.
If you want to add another author, click Save & Add Another and repeat from step 5 .
Click Save & Close.
The following message displays briefly: “Information was successfully saved.”

If necessary, in the Contributor/s list click the up / down arrows to sort by priority.

Adding and saving an editor

Click Add Editor.

The Add an Editor dialog box appears.

Enter the editor's surname in the Last Name field.
Enter the editor's initials in the Initials field.
If this person is currently involved with UCT, click Search UCT.
A list of UCT staff members and students appears (based on the surname and initials entered above).
Click to select the relevant person from the list and continue to the Primary Editor check box
In the Institution extendable select field, enter or select the editor's institution name.
If this person was the primary editor, select the Primary Editor check box.
If you want to add another editor, click Save & Add Another and repeat from step 7.
Click Save & Close.
The following message displays briefly: “Information was successfully saved.”

If necessary, in the Editor/s list click the up / down arrows to sort by priority.

Adding additional conference proceeding information

Enter the number of the article's first page in the Start Page field.
Enter the number of the article's last page in the End Page field.
Select the publication status from the Status drop-down list field.
Enter the year in the Year field.
Enter the website address in the URL field.
Enter the article number (DOI) in the Article Number / DOI field.
Select the relevant peer reviewed option from the Peer Reviewed drop-down list field.
If this falls into the category of engaged scholarship, ensure that the Engaged Scholarship check box is selected.
Enter the details of your contribution in the Own Contribution field.

A scholarly output is considered ready for distribution once the Own Department and Own Faculty fields have been completed.

Select your own faculty from the Own Faculty drop-down list field.
Select your own department from the Own Department drop-down list field.
In the Own Research Group / Unit / Centre extendable select field, enter or select the name of your research group / unit / centre, if applicable.
Enter keywords, separated by space, comma or semicolon, in the Keywords field.

Contributing to OpenUCT

Click Upload Contribution.

The Upload to OpenUCT dialog box appears.
Select the file version from the File to upload drop-down list field.
Select the Creative Commons licence from the Licensing drop-down list field.
Click Browse in the Upload file/s field.

The File Upload dialog box opens.
Navigate to the location of your saved file.
Select the file to upload.
Click Open.

The File Upload dialog box reopens with your selected file listed below the Upload file/s field.

If you want to select another file to upload, click Browse to add another file and repeat from step 10.

If you want to remove a previously selected file, click next to the file to remove.

Select the check box to agree to the OpenUCT non-exclusive distribution agreement.
Click Upload File/s.
The following message displays briefly: “Information was successfully saved.”

Saving conference proceeding information

If you want to add another conference proceeding, click Save & Add Another and repeat from step 4
Click Save & Close.
