Procedure: Requesting a new committee

When to perform

When there is a need for a new committee and this requirement has been approved by management in the department or faculty who will service the committee and the Registrar (or nominee), then request the new committee.

Procedure

  1. Log in to the Governance Intranet. See: Logging in.

  2. In Governance - Governance page, select Committees section.  

  3. The Committees - Home page opens displaying the Manage Committees menu.

  4. In the Manage Committees menu, choose Request New Committee.

Committee name field

  • Enter the full official name of the committee.

Committee Abbreviation field

  • Enter the official abbreviation of the committee name.
    Note: Ensure that the abbreviation is unique and has not already been used by another committee.  

Name of Servicing Officer people picker field

  • Either enter the staff number of the servicing officer (and assistant servicing officer, if applicable);

  • Or click Browse.

  • The Select People dialog box appears displaying all entries.

  • In the Find field, enter part of the user name and click .

  • A list of related entries is displayed below.

  • If necessary, scroll down to find the relevant entry, select it and click Add ->.

  • The name appears in the Add-> field.

  • If there is an assistant servicing officer, repeat the above

  • Click OK.

  • The Select People dialog box closes and the name appears in the Name of Servicing Officer field.

 

Name of Chair people picker field

  • Either enter the staff number of the chair;

  • Or click Browse.

  • The Select People dialog box appears displaying all entries.

  • In the Find field, enter part of the user name and click .

  • A list of related entries is displayed below.

  • If necessary scroll down to find the relevant entry, select it and click Add ->.

  • The name appears in the Add-> field.

  • Click OK.

  • The Select People dialog box closes and the name appears in the Name of Chair field.

Committee Type drop-down field

  • Select the type of committee, whether it is open or closed.

Meeting Notification field

  • Enter the number of days before the meeting that the servicing officer needs to be notified by e-mail from the Governance Intranet.
    Note: The default number of days is 7.

  1. A Message from webpage dialog box appears confirming that the request for committee has been sent.
